Local Unit & Position Description

DNV Energy Systems is looking for a Project Administrator to join the team. The Project Administrator is part of the regional finance and performance team and reports to the Head of Project Administration. This person is responsible for the efficient and timely handling of project set-up, project maintenance, invoicing and project closing with a focus on minimizing WIP days to maximize cash-flow within the business and always in line with the customer contract. This individual communicates with both internal and external clients in a timely, clear, concise, and professional manner on all relating topics.


This position is based out of our Houston, Texas office.

What You’ll Do

  • High proficiency in working with relevant systems performing project set-up, maintenance, invoicing, and project closing activities
  • Able to prioritize and deliver timely support requests
  • Proactive, timely and accurate invoicing in line with contract documents in order to reduce WIP balances
  • Collaborates and communicates regularly with Project Controllers and Project Managers on related items
  • Systems related activities for assigned projects include:
  • Quality control of project set-up to ensure accurate transactional, general ledger and invoicing
  • Project setup and maintenance (including budget and agreement) inside of multiple systems
  • Draft invoice generation based on the customer contract
  • Transactional adjustments, including time transfers, splits, holds, etc. as required for invoicing
  • Works with the Project Controllers and Project Managers to identify transactional errors and works actively to resolve them
  • Invoice processing and distribution, including uploading into client portals
  • Works with the Project Controllers and Project Managers to issue credit notes when rejections or adjustments require it

Position Qualifications


  • Bachelor’s degree in finance or a related field
  • 5+ years of professional experience in Project Accounting and Administration (Experience may be in lieu of education)
  • Strong knowledge of Project Accounting and financial concepts
  • Must be proficient in ERP systems such as Oracle, SAP or any other ERP systems and preferred some CRM experience, such as Salesforce, TeamCenter, etc.
  • Preferred to be proficient in Microsoft Office Suite (Powerpoint, Word, Excel)
  • High attention to detail
  • High proficiency in learning and working with changing system landscapes
  • Reliable and a good communicator
  • Strong written and verbal English communication skills
