Local Unit & Position Description

Maritime Region Americas seeks an Executive Assistant to support the Regional Manager, in Operational activities as well as Country Chair responsibilities. In addition, this position will support the Regional Leadership Team. The Regional Leadership Team is made up of 10 members sitting in three area offices Maritime Region Americas covers nine countries with approximately 220 employees. 

 

This position is based out of the DNV Office in Katy, Texas. 

 

What You'll Do

 

Area of Responsibilities:

 

Support to Regional Manager:

  • Assists the Regional Manager with daily administrative duties and completes a broad variety of administrative tasks that include:
    • managing an active calendar of appointments
    • completing expense reports
    • composing and preparing correspondence
    • arranging detailed travel plans, itineraries and agendas and compiling documents for meetings.
    • Help to set, coordinate, and manage all Regional Manager’s meetings
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the regional manager / Country Chair. Coordinate with Maritime or Group ELT on RM matters
  • Coordinates logistics with high level meetings both internally and externally
  •  Interface with Client’s and external stakeholders’ offices as directed by the regional manager
  • Coordinate internal and external communications with staff and external stakeholders by actively engaging maritime and other BA communications
  • Support Maritime Americas Regional Leadership Team as and when requested by Regional Manager
  • Arrange Regional Leadership meetings in coordination with the Regional Manager and Regional Leadership meeting. Attend those meetings and maintain minutes of meeting with absolute confidentiality.

 

Support to Regional Manager as North America Country Chair:

  • Arrange internal and external DNV North America events in coordination with project managers assigned for those events
  • Interface with other BA leaders and stakeholders as directed by the Country chair
  • Interface with the Chairs of North America Collaboration Council and the US Governmental Panel sponsored by the Country Chair.
  • Interface with DNV Group on Group Initiatives involving North America Country Chair
  • Work with regional leaders to coordinate the Country Chair’s outreach activities
  • Provide hospitality to all guests of Country Chair to create a welcoming environment

 

Position Qualifications

What is Required

 

Experience and Education:

  • Bachelor's degree or higher is preferred. Humanity or social sciences background and an interest in national and global business is a plus. 
  • 5 or more years of experience providing administrative support for executive/upper-level management in an international organization.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to interact professionally with senior leaders of organizations both internally and externally

 

Skills and Abilities:

  • Ability to interact professionally with senior leaders of organizations both internally and externally
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior leaders, and external stakeholders of multicultural in nature
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various
  • competing demands, and demonstrate the highest level of customer/client service and response
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint; data management systems knowledge helpful.
  • Ability to conduct research and present data in a succinct and well-written manner
  • Ability to work independently and with professional discretion
  • Excellent writing, editing, grammatical, organizational, and research skills
  • Excellent management, time-management, and problem-solving skills
